Food Truck Agreement & Event Policies
Please review the following policies carefully and acknowledge your agreement prior to participating.
Event Location
Food trucks will be located in designated areas assigned by Goold Hill Vineyard and Cidery. Assignments are determined by event management to provide the best guest experience and may not be changed without prior approval.
Arrival, Setup & Departure
Food trucks may arrive during the designated arrival window communicated through email by our booking staff.
Food trucks are required to remain open and operational until 30min prior to closing time unless otherwise approved by event management.
Early departure or breakdown without prior approval may affect eligibility for future events.
Once parked, food trucks may not be moved during the event except in the event of an emergency or at the direction of event staff.
Food Truck Requirements
Food trucks must be fully self-contained and operate safely in accordance with all applicable health, fire, and local regulations.
Vendors are responsible for providing all equipment, supplies, propane, fuel, water, and waste containment necessary for operation.
Food preparation and service areas must be kept clean, sanitary, and organized throughout the event.
Each food truck is responsible for removing all trash, grease, wastewater, and other waste generated by its operation before departing.
Licenses & Insurance
Food trucks must provide a valid local New York Health Department permit authorizing the operation of their mobile food service establishment, along with any other required licenses and permits. Prior to participation, vendors must also provide a valid Certificate of Insurance (COI) naming Goold Hill Vineyard and Cidery as an Additional Insured.
Electricity & Power
Electrical service is not provided.
Food trucks must be fully self-contained.
Quiet, built-in generators that are part of the food truck are permitted. External generators may only be used with prior approval and must not create excessive noise or safety hazards.
Extension cords may not cross guest walkways unless specifically approved and properly protected.
Fire & Safety
Food trucks must comply with all applicable fire safety regulations.
Any required fire extinguishers, suppression systems, propane equipment, and safety devices must be properly maintained and readily available.
Propane tanks must be secured and operated in accordance with applicable codes.
Goold Hill Vineyard and Cidery reserves the right to prohibit operation of any truck that presents a safety concern.
Weather Policy
Events are held rain or shine, and food trucks are expected to operate in typical outdoor weather conditions, including rain, wind, heat, or cold.
Weather conditions normally associated with outdoor events do not qualify for credits, transfers, or cancellations.
If severe weather or other circumstances beyond our reasonable control create unsafe conditions, Goold Hill Vineyard and Cidery reserves the right to delay, modify, suspend, or cancel the event. If an event is canceled by Goold Hill Vineyard and Cidery, vendors may be offered a credit toward a future event at our discretion. Refunds will not be issued.
Food & Beverage Sales
Food truck vendors may not sell, distribute, or provide water, soft drinks, alcoholic beverages, or any other beverages. All beverage sales are exclusively managed by Goold Hill Vineyard and Cidery in accordance with Farm Winery license requirements.
Food trucks may only sell menu items that were disclosed and approved as part of the application process.
Goold Hill Vineyard and Cidery reserves the right to require the removal of any unapproved products or menu items.
Professional Conduct
Food truck operators and staff are expected to conduct themselves professionally, provide courteous service, and maintain a welcoming environment for all guests.
Promotion
We encourage participating food trucks to help promote the event by sharing their participation on social media during the weeks leading up to the event and tagging Goold Hill Vineyard and Cidery whenever possible.
Application & Approval
Submitting an application does not guarantee acceptance. Applications are reviewed based on menu variety, event needs, and availability. If selected, our team will contact you to confirm your participation. Your reservation is not confirmed until all required documentation has been received and any applicable participation fee has been paid in full.
Liability
Each food truck is solely responsible for its vehicle, equipment, inventory, employees, and personal property. Goold Hill Vineyard and Cidery shall not be responsible for any loss, theft, damage, injury, or business interruption occurring before, during, or after the event.
Cancellation
If you are unable to attend, please notify us as soon as possible so your space may be offered to another vendor. Failure to attend without notice or repeated late cancellations may affect participation in future events.
